Academic & Basic Research
The Staff page in the Care Lab Portal menu lists everyone who has access to your study. From this page you can see the status of each staff member, invite new ones, and manage existing access.
The Staff page
For each staff member, the list shows:
| Column | What it shows |
|---|---|
| Status |
Active – the staff member has accepted the invitation and can access the Portal. Pending – the invitation has been sent but not yet accepted. |
| Last activity | When the staff member last used the Portal. |
| Invited by | Which staff member sent the invitation. |
| Role | The role assigned to the staff member, which determines what they can see and do in the Portal. |
Inviting a staff member
Study Managers can invite additional staff directly from the Staff page, and can assign any of the available roles. You will be asked for the new member's email address and the role to assign them.
The invitation is sent by email. Until it is accepted, the staff member appears in the list with the Pending status.
For security reasons, invitation links expire after 30 days. If the link has expired, use the Resend invitation button on the Staff page to send a new one.
Available roles
On the Academic & Basic Research plan, three roles are available. In the invitation form they are grouped under Study roles (All sites), meaning they apply to the whole study.
| Role | What this role can do |
|---|---|
| Study Manager |

Every role must first accept the invitation and create a Care Lab Portal account before they can access the study.
Managing existing staff
From the Staff page you can also:
- Resend invitation – send a new invitation email to a staff member whose invitation is still pending, or whose link has expired.
- Edit role – change the role assigned to a staff member.
- Revoke access – remove a staff member's access to the study.
